Audience: The placed AI Specialist (you) + REMAP ops — internal document
This SOP is the single home for how we stay on top of an active placement — for the whole engagement, not just the first month. It covers the internal rhythm with REMAP, Andrew's weekly check-in, the client-facing weekly update, and the milestone check-ins. The reusable form for the weekly update is the AIS Weekly Report Template.
The aim is simple: the client always feels informed, our PM always knows where things stand, and problems surface early enough to fix.
There are four reporting/check-in streams. Keep them distinct — they serve different people.
¶ 1. Internal Standups with REMAP
- Frequent at the start — likely daily in the first weeks, focused on timing and status, because our PM is tracking your progress closely.
- As you prove you're operating well and independently inside the client's team, we taper this back — fewer touchpoints, lighter oversight.
- The end state is you running independently with the client, REMAP doing nothing beyond reachback support. Less micromanagement is the reward for proven independence, not a gap.
¶ 2. Andrew's Weekly Check-in
- A weekly check-in led by Andrew, usually with you (the specialist), and with the client as well when useful.
- Purpose: keep the engagement pointed at the agreed plan, catch drift or friction early, and give you a direct line to leadership.
- When the client joins, it doubles as a relationship and health check — are expectations being met, is anything building up unsaid.
- Come prepared with your weekly report (below) — it's the natural agenda.
- A clear weekly progress update to the client, built from the AIS Weekly Report Template.
- Three things, always: what's done, what's next, and any blockers/needs.
- Written for a non-technical reader. Flag issues before they become problems.
- This is how the client experiences your reliability — never skip it, even in a quiet week.
- Day 7 — early read: how it's going, any friction, anything you need.
- Day 30 — fuller review: workload, your relationship with the client team, support needed. The client also has a Day 30 review with REMAP.
- These are for you as much as for us. If something's wrong, raise it at Day 7 — issues get addressed within 48 hours, and nothing should be left to fester until Day 30.
Anything that could affect the engagement — a blocker you can't clear, client friction, an out-of-scope request, a slipping deliverable — goes to REMAP early. Flagged issues are addressed within 48 hours. Early and honest always beats a surprise later.
