Owner: Andrew Herbert (80–90% strategic direction) + Shahzaib Abbas (drafts + execution)
Entity: REMAP.ai + PrivateAI (both)
Status: v0.9 · In Progress · Pending Andrew Herbert review
Version: 0.9 | Last updated: 2026-06-23
What this workflow does: Produces REMAP.ai's quarterly marketing strategy — a Google Doc
covering products and services to promote, channel mix, ICP, content themes, budget, and
targets. Shahzaib drafts it, Andrew sets the direction, and nothing executes until Andrew
approves it.
What triggers it: Two conditions:
What it produces: An approved marketing strategy Google Doc (MKT-01e-DOC-01) that feeds
every downstream marketing workflow — MKT-01a through MKT-01f. Without this document
approved, the team has no mandate to execute.
Why it matters: This is the top of the marketing tree. Every campaign, every content
piece, every channel, every lead gen tactic runs from this document. Getting it right — and
getting Andrew's genuine buy-in — is what determines whether the rest of marketing runs in
a straight line or gets pulled in multiple directions mid-quarter.
⚠️ Andrew sets 80–90% of the marketing strategy. He determines products/services to
promote, channels, targets, and overall direction. Mid-quarter direction changes from Andrew
can require a full strategy reset. Shahzaib drafts and executes, but Andrew's call overrides
everything.
| Role | Department | Responsibility | Andrew? |
|---|---|---|---|
| Andrew Herbert | Executive | Sets 80–90% of strategic direction — products/services, channels, targets, overall approach. Final approval authority. Initiates mid-quarter resets. | Yes |
| Shahzaib (Marketing Manager) | D1 Marketing | Produces the draft strategy doc. Owns ICP definition and content themes. Proposes budget. Incorporates Andrew's direction into the document. Manages update process when direction changes. | No |
Step 1 — Pre-Strategy Review: Previous Quarter Performance
Step 2 — Strategy Meeting: Andrew & Shahzaib
Step 3 — Draft Strategy Document
Step 4 — Share with Andrew for Approval
Step 5 — Distribute to Downstream Workflows
Step 6 — Mid-Quarter Reset (when Andrew changes direction)
| Tool | How it's used | Agent-ready |
|---|---|---|
| Google Docs | MKT-01e-DOC-01 — marketing strategy document (primary output) | Yes — API + MCP |
| Discord | Strategy shared with Andrew; mid-quarter direction changes communicated here | Yes — API |
| Google Meet | Quarterly strategy meeting between Andrew and Shahzaib | Yes — Calendar API |
| Instantly.ai | Previous quarter email metrics for pre-strategy review | Yes — API |
| Dripify | Previous quarter LinkedIn metrics | Yes — API |
| ClickUp | Lead count and source data for previous quarter review | Yes — API |
| Google Analytics | Content and website performance for previous quarter review | Yes — API |
| CRM | TBD — pending OPS-O02 — will eventually provide cleaner pipeline data | TBD |
⚠️ Tool gap: No single dashboard exists to pull all performance data into one view for
the pre-strategy review. Shahzaib manually pulls from multiple tools. OPS-O03 (Business
Performance Reporting) will eventually solve this.
| Decision | Condition | Options | Owner |
|---|---|---|---|
| Strategy approval | Does Andrew approve the draft strategy as written? | A: Approved → live, downstream updated / B: Changes requested → Shahzaib updates and resubmits | Andrew Herbert |
| Mid-quarter reset scope | How significant is Andrew's direction change? | A: Tactical adjustment → update existing doc / B: Strategic reset → abandon doc, create new one, re-brief all downstream | Shahzaib assesses · Andrew decides if unclear |
| Scenario | How to handle | Escalation |
|---|---|---|
| Andrew changes direction 360 degrees mid-quarter | Abandon existing strategy doc. Create new one. Stop or pause campaigns that no longer align. Re-brief all downstream workflows. | Shahzaib to flag impact to Andrew — especially if campaigns are mid-flight |
| Strategy meeting keeps getting postponed | Set a fixed recurring calendar invite for strategy review at start of each quarter. Don't wait for Andrew to initiate. | If delayed past 2 weeks into the quarter, Shahzaib to flag — team is executing without a mandate |
| Andrew and Shahzaib disagree on direction | Shahzaib surfaces the disagreement with data where possible. Andrew makes the final call — document his decision and note any concerns for the next review. | No further escalation — Andrew is the decision maker |
| Strategy doc approved but Andrew shifts verbally without updating the doc | Shahzaib to always ask "Should I update the strategy doc?" after any significant verbal direction change from Andrew. | If doc and reality diverge significantly, flag to Andrew and do a formal reset |
| New product or service launches mid-quarter | Andrew initiates a mid-quarter reset. Shahzaib builds a new or amended strategy incorporating the new product/service. | Andrew to give Shahzaib adequate notice before any public announcement |
| Metric | Type | Target |
|---|---|---|
| Strategy document produced before quarter starts | Process | 100% on time — before Q1 day 1 |
| Andrew approval received before execution begins | Process | 100% — no execution without approval |
| Mid-quarter resets per quarter | Lagging | Track and reduce over time |
| Downstream workflows updated within 48h of strategy approval | Process | 100% |
| Strategy-to-execution alignment (did we do what we planned) | Lagging | TBD — review at end of each quarter |
| Step | Current state | Suggested automation | Tool | Effort |
|---|---|---|---|---|
| Step 1 — Pre-strategy performance review | Manual pull from multiple tools | OPS-O03 dashboard auto-generates previous quarter summary before strategy session | n8n + multiple APIs | Medium |
| Step 4 — Andrew notification | Manual Discord message from Shahzaib | n8n posts to Discord and tags Andrew when strategy doc is updated and ready for review | n8n + Google Docs API + Discord | Low |
| Step 5 — Downstream workflow updates | Manual (Shahzaib updates each workflow) | Templated update checklist ensuring all 5 downstream workflows are updated | Google Docs template | Low |
| Step 6 — Mid-quarter reset tracking | Informal — no log of resets | Add a change log to the strategy doc noting date, what changed, and why | Google Docs (change log section) | Low |
