Owner: Shahzaib Abbas (Marketing Manager) — execution
Contributors: Andrew Herbert (product definition, positioning sign-off, launch
decision) · Muskan (social media + design) · Umar (sales briefing)
Entity: REMAP.ai + PrivateAI (both)
Status: v0.9 · In Progress · Pending Andrew Herbert review
Version: 0.9 | Last updated: 2026-06-23
What this workflow does: Defines and executes the end-to-end go-to-market process
when REMAP.ai or PrivateAI launches a new product or service. Covers market research,
competitor analysis, messaging development, asset creation (landing page, social posts,
blogs, white papers), channel activation, and internal team briefing. Takes 2–3 weeks
from confirmed product to active marketing.
What triggers it: Andrew confirms a new product or service is ready to go to market.
This workflow kicks off immediately after that decision — Shahzaib leads execution from
that point.
What it produces: A live, fully activated GTM launch — landing page live, social
assets ready, blog content published, white paper produced, cold email sequence prepared,
and sales team briefed on what the product is, what it does, and what it doesn't do.
Why it matters: A new product without a structured launch wastes the opportunity.
Two to three weeks of focused preparation — market research, sharp messaging, coordinated
channel activation — is what turns Andrew's product decision into actual pipeline.
Without this workflow, launches are ad hoc and inconsistent.
⚠️ Andrew Involved — Andrew confirms the product is ready to go to market,
co-develops positioning with Shahzaib, and briefs the wider team via the monthly CEO
meeting. Nothing launches without his go-ahead.

Decision: Messaging approval (Step 4)
| Option | Condition | Action | Owner |
|---|---|---|---|
| A | Andrew approves messaging | Proceed to asset creation | Shahzaib |
| B | Changes needed | Revise and resubmit | Shahzaib revises · Andrew approves |
Decision: Launch go/no-go (between Steps 9 and 11)
| Option | Condition | Action | Owner |
|---|---|---|---|
| A | All assets ready + Andrew gives go-ahead | Launch social + activate cold email | Shahzaib |
| B | Assets incomplete | Delay launch — do not activate cold email without landing page live | Shahzaib flags to Andrew |
Decision: Cold email timing (Step 12)
| Option | Condition | Action | Owner |
|---|---|---|---|
| A | Landing page live + content published | Activate cold email sequence | Shahzaib |
| B | Landing page not yet live | Hold cold email — do not send traffic to dead link | Shahzaib |
| Scenario | How to handle | Escalation |
|---|---|---|
| Andrew changes product positioning mid-GTM | Stop asset creation on affected materials. Revise messaging framework first. Rebuild assets from updated messaging. | Flag timeline impact to Andrew — a positioning change mid-launch can add 1–2 weeks |
| Landing page build takes longer than expected | Prioritise landing page above all other assets — nothing else launches without it. Simplify if needed. | Shahzaib flags to Andrew if launch date is at risk |
| Competitor launches a similar product during GTM prep | Accelerate competitor analysis. Sharpen differentiation messaging. Do not delay launch — speed to market matters. | Brief Andrew on competitive development; quick sign-off on messaging adjustments |
| White paper takes longer than expected | White paper can follow the launch by 1 week — it's a supporting asset, not a hard blocker. | Note delay — does not block core launch |
| Sales team not briefed before launch | Do not launch cold email or outbound until Umar is briefed. Brief Umar 1:1 if a full meeting can't happen. | Shahzaib to ensure Umar is briefed before any outbound activity starts |
| Metric | Type | Target |
|---|---|---|
| GTM timeline (confirmed to live) | Process | 2–3 weeks |
| Landing page live before cold email starts | Process | 100% — no exceptions |
| All assets complete at launch | Process | Landing page + social assets + 1 blog post + white paper |
| Sales team briefed before outbound starts | Process | 100% |
| Leads generated in first 30 days post-launch | Leading | TBD — set per product |
| Cold email reply rate for launch sequence | Leading | TBD — benchmark against standard outbound |
| Landing page conversion rate | Lagging | TBD — establish per launch |
| Step | Current state | Suggested automation | Tool | Effort |
|---|---|---|---|---|
| Step 8 — Blog content | Manual brief to n8n pipeline | Add GTM topic directly to keyword sheet — n8n handles research, generation, and Discord approval automatically | n8n (existing pipeline) | Low |
| Step 11 — Social launch posts | Manual publish by Muskan | Schedule launch posts in advance via n8n or social scheduling tool — publish automatically on launch day | n8n + LinkedIn/Instagram API | Low |
| Step 12 — Cold email sequence | Manual build in Instantly | Pre-built GTM sequence template in Instantly — Shahzaib only loads the prospect list and activates | Instantly.ai templates | Low |
| Steps 2–3 — Market research + competitor analysis | Manual web research | AI-assisted research — Shahzaib prompts Claude with product brief → gets structured market research and competitor summary as starting point | Claude API | Low |
